The role requires the ability to work both independently and to fit into, and contribute to, the team. The role requires a good ability to work independently as well as good cooperation and communication skills.

Our projects involve multiple contributors and partners from around the globe, which means daily use of video conferencing and requires good English verbal and written communication. The role is based in Gothenburg.

Job description

CRS seeks the assistance of an experienced and multi-skilled administrator to support the business on its growth trajectory. We are looking for someone with proven abilities to get things done. The Office Administrator will be responsible for the day-to-day administrative activities that support the business and for providing ad-hoc support and guidance to the growing team of young engineers. There is significant scope to develop and expand the role over time. Initially, the role will include the following responsibilities:

  • Take care of the day-to-day office activities

    • Ensure that high housekeeping and safety standards are set and maintained.

    • Organise and manage office-related services (rental and utilities, office equipment and supplies, cleaning services etc).

    • Manage the office IT and software licences.

    • Assist with company budgeting, reporting and financial management (there is significant scope to expand this over time for the right individual).

    • Manage the company’s homepage, LinkedIn, and social media

  • Provide procurement support to the technical team:

    • Assist the technical team in obtaining quotes and placing orders.

    • Follow up with suppliers and track delivery of orders.

    • Approve invoices for final payment (and resolve any queries before making such approvals).

    • Note that this function could expand to encompass end-to-end procurement for the right individual.

  • Support the overall team productivity, professional development and motivation:

    • Be aware of, and involved in, the overall engineering programme and activities:

    • Develop company guidelines and policies where needed and educate the team on these and legal requirements.

    • Manage timesheets and keep an independent eye on workloads and team dynamics.

    • Manage the office leave/vacation roster (in consultation with the Engineering Team Leader(s)).

    • Assist with team with their travel and accommodation arrangements.

    • Assist in arranging training and skills development programmes.

Prerequisite skills and experience

Qualifications and experience should be appropriate for the above responsibilities and must include several years of relevant work experience. The ideal candidate will possess the following attributes:

  • Be highly organized with a ‘get things done’ mindset and take ownership of your own work and deadlines.

  • Have a ‘can-do’ attitude and an appreciation of the personal growth that is the reward for ‘going the extra mile’ and taking on challenges outside of your comfort zone.

  • Show a high level of initiative and seek out opportunities to assist others and add value beyond their immediate responsibilities.

  • Be comfortable with budgets and normal business financial processes.

  • Be familiar with Swedish employment practices, norms and shortcomings. Prior roles in high-productivity and global work environments would be a bonus.

  • Show strong personal values and interpersonal skills.

  • Be comfortable operating in a typical ‘start-up’ environment:

    • Be a part of building a new company.

    • Be willing to co-develop company systems and processes as we need them.

    • Thrive in an informal, flat, team-based structure rather than formal reporting structures.

    • Expect and cope with regular problems and scope shifts as the development progresses.

    • Work in a diverse, small team spread across the globe, with a diverse but complementary mix of problem-solving styles and approaches.

    • Be ready for new challenges and the personal growth that comes with overcoming the impossible!

The candidate must be a resident of Gothenburg and be fluent in Swedish and English. CRS is only able to consider applications from EU citizens or candidates with a work permit enabling employment in Sweden. The responsibilities are suited to someone initially looking for a part-time role. There is scope for flexible work hours; however, the role will require regular in-person attendance at the office (at least 2-3 times each week).

Remuneration

A competitive package is offered commensurate with experience and qualifications. There will be significant opportunities to grow with the company as the product is commercialized and the company builds a global product development and product support organization.
